Individual teams are often organised. Leasing tracks its leads, finance tracks its invoices and operations tracks its jobs. Work gets lost in the space between them, when information has to be passed on and nobody is sure it arrived.

Leasing to finance

When a contract is signed, finance needs the rent, deposit, fees, start date and billing cycle. If those details live only in the contract document, someone has to retype them, and mistakes follow.

  • Is the deposit recorded where finance will see it?
  • Do recurring fees on the contract match the fees that will be billed?
  • Who tells finance when a contract changes mid-term?

Leasing to operations

A move-in date is also a deadline for cleaning, checks and key handover. If operations hears about it late, the tenant's first day suffers.

  • Is there a task for every scheduled move-in and move-out?
  • Is the room condition recorded at handover?
  • Who confirms the room is ready?

Operations to finance

Repairs cost money, and some are recharged to tenants. Without a link between the job and the expense, costs are hard to attribute and recharges are forgotten.

  • Is each repair expense linked to a property?
  • Is there a clear rule for which repairs are recharged?

Closing the gaps
