Leads
Recording an enquiry, the required fields, booking a viewing and converting to a reservation or lease.
1. Record a lead
Open the form
Go to Leasing → Leads and press (+).
Fill in the fields
Field Required Description Name Yes Maximum 255 characters. Phone Yes Must be a valid phone number. Rooms of interest Yes At least one room. This is what prevents two staff promising the same room. Lead source Yes Where the enquiry came from. This is what later tells you which channel is worth paying for. Expected viewing time Yes When they want to see the room. Sales person No Who owns the follow-up. Performer No Who will show the room. Collaborator No Partner or referrer, if commission applies. See Commissions. Existing tenant No Link when a current tenant is enquiring about another room. Note No Maximum 255 characters. Save
The lead enters the pipeline and the viewing appears on the calendar.
2. Close every viewing
Record the outcome of each viewing: won, lost, or no-show, with a reason when lost.
A viewing left open is the most common leak in the pipeline. An open record nobody revisits is worse than no record, because it makes the report look healthy.
3. Convert
A won lead becomes a reservation when money is taken to hold the room, or goes straight to a lease. Converting carries the contact details forward, so nobody retypes a phone number and gets a digit wrong.
