Bookings
Taking nightly and hourly stays, the required fields, changes, cancellation and billing.
Before you start
1. Take a booking
Open the form
Go to Bookings and press (+), or drag across free dates on the calendar.
Choose the pricing mode
Nightly or hourly. The mode decides which date fields are required.
Field Required Description Pricing mode Yes Nightly or hourly. Building and room Yes What is being sold. Bed No Required when the room has active beds. Check-in / Check-out No Required for a nightly booking. Date, start and end time No Required for an hourly booking. A stay crossing midnight is marked as next day. Fill in the guest
Field Required Description Guest name Yes Who the stay is for. Phone No Needed for arrival contact and for most channel requirements. Add extras
Attach any add-ons agreed at the time of booking.
Check the total, then save
The total is calculated night by night from the rate plan in force on each date.
2. Changes and cancellations
Extend or shorten a stay on the booking itself so the calendar and the charges move together.
Changing dates does not reprice nights that are already invoiced. Check the total after any change that crosses a rate-plan boundary.
Cancel rather than delete. A cancelled booking keeps its reason, which is what makes cancellation rates readable later.
3. Billing a booking
A booking produces an invoice like any other charge, and payment is recorded against it — see Income and expenses.
