Reservations

Holding a room before the lease starts, the holding deposit, and the three ways a reservation ends.

Before you start

  • The room is free for the period you are holding.
  • A payment account exists — it is required on the form, because a reservation records money. See Payment accounts.
  • The tenant record exists, or will be created from the lead.

1. Create a reservation

  1. Open the form

Go to Leasing → Reservations and press (+), or convert a lead.

  2. Fill in the fields

    FieldRequiredDescription
    BuildingYesDetermines the rooms offered.
    RoomYesThe room being held.
BedNoRequired when the room has active beds.
    TenantYesWho is holding the room.
Payment accountYesWhere the holding deposit is recorded.
Payment periodYesHow often the future lease will be billed — monthly, quarterly, and so on.
    DepositNoAmount taken now.
Total depositNoFull deposit agreed, if it is being paid in parts.
Deposit monthsNoDeposit expressed as a number of months' rent.
Check-in dateNoWhen the tenant intends to move in.
Deposit dateNoWhen the money was received.
Rent priceNoAgreed rent, carried into the lease.
PromotionNoDiscounted months and discounted price, if agreed.
Reservation agreementNoDocument template to generate. See Documents.
Lead / sales / collaboratorNoAttribution for pipeline and commission reporting.
  3. Save

The room shows as reserved on the property layout and is blocked for other leases and bookings.

2. The holding deposit

Never record a holding deposit as a payment against a future invoice. The invoice does not exist yet, and the money is not revenue until the terms say it is.

When the lease starts, the amount transfers to the lease deposit. See Deposits.

3. Close the reservation

OutcomeWhat to doWhat happens to the money
Tenant signsConvert to a leaseTransfers to the lease deposit
Tenant withdrawsClose the reservationRefunded as an expense, or forfeited as income
Hold expiresClose the reservationPer your terms; record whichever applies

Always set an expiry. A hold with no end date quietly removes a room from your available stock for months.
