Inviting staff, assigning their buildings and role, task routing, and removing access.

1. Invite someone

  1. Open the form

Go to Settings → Team & access → Users and press (+).

  2. Fill in the identity

    FieldRequiredDescription
    NameYes
PhoneYesMust be a valid phone number.
RoleYesWhich permission set applies. See Roles.
    EmailNoWhere the invitation is sent.
    PositionNoJob title.
    DepartmentNo
Reference codeNoStaff number, if you use one.
ActiveNoTurn off to revoke access without deleting history.
  3. Set the scope

    FieldRequiredDescription
All buildingsNoGrants access to every building, including ones added later.
BuildingsNoThe specific buildings this person can see, when not granted all.
AreasNoGrants access by area instead of building by building.
Team leaderNoMarks the person as leading a team, for task routing.
  4. Set task routing

    FieldRequiredDescription
All buildings for tasksNoReceives tasks from every building.
Task buildingsNoLimits which buildings' tasks reach this person — can differ from their data scope.
Automatic task assignmentNoInclude this person when work is assigned automatically.
  5. Confirm what they can see

Ask them, rather than assuming. Scope mistakes are invisible from the admin side.

2. When someone leaves

  1. Deactivate the user

Turn Active off on their last working day.

  2. Reassign their open work

Forward their tasks so nothing goes quiet. See Tasks.

  3. Remove their signature block

If they had one. See Signatures.

  4. Revoke their API keys

Any key they created carries their permissions. See API keys.

Deactivate rather than delete. Their name stays on the invoices they issued and the receipts they recorded, which is what keeps the history readable.
