Notifications
What is sent to tenants and staff, sending an announcement, and keeping the volume readable.
1. What is sent automatically
| Event | Who is notified |
|---|---|
| An invoice is approved | The lease's representative tenant |
| A due date approaches or passes | The tenant, per the reminder settings |
| A payment is recorded | The tenant |
| A task is assigned | The assignee |
| An incident is raised | Staff covering that building |
| A lease approaches its end date | Staff covering that building |
Reminder timing and channels are configured in General settings.
2. Send an announcement
Open the form
Go to Notifications and create a new notice.
Choose the audience
A building, a floor, or a set of rooms. Send to the narrowest group that needs it.
Write it so it can be acted on
State what is happening, when, and what the tenant needs to do. A notice with no action and no date is noise.
Send
Tenants with the mobile app receive it in the app; others through the configured channels.
3. Notifications follow permissions
Staff are only notified about buildings they are assigned. Someone who cannot see a building is not told about its incidents — which is also why a task nobody is scoped to can sit unnoticed.
4. Keeping it readable
A reminder that arrives every day stops being read by the second week. Two reminders around the due date collect more than seven do.
Turn off any reminder you are not prepared to act on. A dunning notice with no follow-up teaches tenants that deadlines are negotiable.
