Buildings

Creating a building, the fields the form requires, defaults it passes down, and deactivating it safely.

Before you start

  • Create the area first if you want the building grouped for reporting. See Areas.
  • You need permission to create buildings. See Roles.

1. Create a building

  1. Open the form

    Go to Properties → Buildings and press (+).

  2. Fill in the identity and address

  3. Set the defaults new leases will inherit

  4. Save

    The building appears in the list and can now hold floors and rooms.

2. Buildings and access

Staff permissions are scoped by building. Someone assigned two buildings sees only those two everywhere: lists, reports, notifications and the dashboard. Assign them in Users.

Do not split one address into two buildings to separate accounting. It also splits occupancy, debt and cash flow reporting, and there is no way to recombine them later.

3. Taking a building out of service

  1. End the leases

    Terminate or let the remaining leases expire. See Leases.

  2. Settle the money

    Collect outstanding balances and refund deposits, so the building leaves no open liabilities.

  3. Deactivate

    Turn Active off. History stays in reports; new leases and bookings are blocked.
