Bookings

Taking nightly and hourly stays, the required fields, changes, cancellation and billing.

Before you start

  • A rate plan covers every night of the stay, otherwise the total cannot be calculated.
  • The room is free for the whole range — check the calendar.
  • The room's beds exist if it is a shared room, because the bed field becomes required.

1. Take a booking

  1. Open the form

Go to Bookings and press (+), or drag across free dates on the calendar.

  2. Choose the pricing mode

Nightly or hourly. The mode decides which date fields are required.

Date, start and end timeNoRequired for an hourly booking. A stay crossing midnight is marked as next day.
  3. Fill in the guest

PhoneNoNeeded for arrival contact and for most channel requirements.
  4. Add extras

Attach any add-ons agreed at the time of booking.

  5. Check the total, then save

The total is calculated night by night from the rate plan in force on each date.

2. Changes and cancellations

Extend or shorten a stay on the booking itself so the calendar and the charges move together.

Changing dates does not reprice nights that are already invoiced. Check the total after any change that crosses a rate-plan boundary.

Cancel rather than delete. A cancelled booking keeps its reason, which is what makes cancellation rates readable later.

3. Billing a booking

A booking produces an invoice like any other charge, and payment is recorded against it — see Income and expenses.
