Run the report
Open it
Go to Reports → Financial reports → Outstanding balances.
Filter to your buildings
Then sort by age rather than by amount.
Work the oldest first
Age, not size, is what predicts whether a balance will ever be collected.
What it counts
Unpaid amounts on approved invoices, by tenant and lease, aged by how long they have been outstanding. Drafts are excluded — an invoice nobody approved is not a debt.

| Under 30 days | Ordinary payment timing |
| 30 to 60 days | Follow up; something is being avoided |
| Over 60 days | Treat as a case, not a reminder |
The trap
Payments settle the oldest invoice first, so a tenant paying every month can still carry an old unpaid balance forward indefinitely. The age column is what exposes that — the total alone does not.
A tenant with both a balance owing and a credit balance is a settlement nobody completed. Clear those pairs first.
