Rooms

Before you start#

• The building exists. See Buildings.
• The floor exists — it is a required field on the room form. See Floors.

1. Create a room#

1. Open the form

   Go to Properties → Rooms and press (+).

2. Fill in the fields

   Campo	Obligatorio	Descripción
   Building	Sí	Determines which floors are offered next.
   Floor	Sí	The room cannot be saved without one.
   Name or number	Sí	Maximum 255 characters. Appears on invoices, tasks and the property layout.
   Price	Sí	Base rent. New leases inherit this as their starting price.
   Deposit	Sí	Default deposit amount for a new lease on this room.
   Area (m²)	No	Must be zero or more.
   Room type	No	Used for grouping and filtering.
   Maximum occupants	No	Whole number, zero or more. Drives per-person services and occupancy warnings.
   Invoice template	No	Overrides the building default for this room.
   Lease template	No	Overrides the building default for this room.
   Active	No	On by default. Inactive rooms cannot be leased or booked.

3. Save

   The room appears in the list and on the property layout.

2. Room price versus lease price#

The room carries a default price. The lease carries the price actually agreed.

Changing the room price does not change existing leases. That is deliberate — a signed lease should never move because someone edited a list screen. To change what a sitting tenant pays, amend the lease or handle it at renewal.

3. Creating many rooms#

When a building repeats the same layout per floor, create one floor completely, check the result, then repeat.

• Check the first invoice generated from one of the new rooms before creating the rest.
• A mistake copied across sixty rooms takes far longer to unpick than to prevent.

4. Taking a room out of service#

Turn Active off rather than deleting. Deleting a room that already has invoices removes the records the finance reports are built from.

For a temporary stop — renovation, a hold — use an availability block instead, so the reason is recorded and occupancy reports stay honest.
